CatalystRM
The CRM and client-ops platform we run our own business on — contacts, deals, tickets, and client documents in one place, not six.
We got tired of stitching together a CRM, a helpdesk, an e-signature tool, and a spreadsheet of leads — so we built the one system that actually matches how a services business works, and we run our own client relationships on it every day.
Everything lives against one client record: their deals, their support tickets, their signed documents, their onboarding forms. No syncing, no exporting, no “which tool is the source of truth this week.”
It’s a real WordPress plugin — it installs into wp-admin like anything else, and every screen shown on this page is available both ways: in plain, familiar wp-admin, or in CatalystRM’s own distraction-free “Live View” shell.
A closer look
01 · Dashboard
Start the day with clarity.
Everything that needs attention lands on one screen — overdue tickets, high-potential deals, and what changed since yesterday. No hunting across five tabs to find out what’s actually urgent.
02 · Deals
A pipeline you can actually see.
A real drag-and-drop board from New to Won, with company and dollar value right on the card. Move a deal forward the same way you’d move a sticky note — because that’s exactly what this replaces.
03 · Tickets
Support tickets with real SLAs.
Every ticket gets a priority automatically from an impact × urgency matrix, and response/resolution clocks flag “Overdue” the moment they slip. Nothing waits in a shared inbox hoping someone notices.
04 · Prospects
Cold outreach, kept separate.
Bulk-import a lead list without it ever touching your real client and company data. Track status from New through Interested, and convert to a real deal the moment someone actually responds.
05 · Documents
Every agreement, one place.
See what’s signed and what’s still pending, by client and company, without digging through email attachments or a separate e-signature account.
06 · Client record
Every client, one full page.
Contact info, company, industry, billing details, time zone, hours — the profile a client filled in themselves, right at the top of their record.
07 · Client history
Everything they’ve done, right below it.
Scroll down on that same page and it’s all there: which onboarding forms are submitted, which documents are signed or still pending, open support tickets, and a full activity log — no separate tool to check.
08 · Companies
Rolled up automatically, not entered twice.
Every client at the same company — their forms, their documents, their stage — rolled up onto one company record. Add a second contact at that company and it just shows up here, no extra data entry.
09 · Two ways to work
A real WordPress plugin, not a bolt-on.
CatalystRM installs like any other WordPress plugin and shows up right in your existing wp-admin sidebar. Every screen shown throughout this page is also its distraction-free “Live View” shell — but the exact same data is one click away in plain wp-admin, for anyone who’d rather stay right where they already are.
What it replaces
- A separate CRM for contacts, companies, and the sales pipeline
- A separate helpdesk tool for support tickets and SLAs
- A separate e-signature tool for client agreements
- A spreadsheet (or three) for cold-outreach leads
- A separate tool for client-facing onboarding forms
- An email inbox doing double duty as your announcement system
What’s included
- Contacts, companies & deals — a real drag-and-drop pipeline from lead to won, with every client and company rolled up in one place.
- Support tickets with real SLAs — impact × urgency maps to a priority automatically, response and resolution clocks run in the background, and a technician console shows what’s at risk before it breaches.
- Client documents & e-signing — agreements assigned per client, signature fields placed once on a reusable template, private storage that’s never in the public uploads folder.
- A client portal that isn’t an afterthought — your clients log in to sign documents, submit tickets, and check on open work, without emailing you to ask for an update.
- Cold-outreach lead lists, kept separate — bulk-import a prospect list without it polluting your real client and company data; convert one to a deal the moment they respond.
- Segmented email campaigns — send to everyone, one stage, or one company, with a send log so you know what actually went out.
- Role-based access — technicians see their own tickets, managers see everything, and nobody gets more access than their job needs.
- An audit trail that isn’t an afterthought — who changed what, and when, on the records that actually matter.
How it works
Capture
A lead comes in from a form, an import, or a manual add — and lands as a contact, ready to move into a deal the moment it’s real.
Work
Deals move through your pipeline, tickets get worked against their SLA, documents get signed — all against the same client record.
See
One dashboard shows what actually needs attention today, not a wall of data you have to go looking through.
