Email reports
On this page
Read the Email Reports screen: 30-day totals by status, daily activity, and the subjects your site sends most.
The Email Reports screen turns your email log into a simple 30-day overview. This article explains each part of the screen and how to use it. It is for site owners who want to know, at a glance, how much their site sends and how much of it fails.
Open the reports
Go to CRM-NG SMTP → Email Reports. The page heading reads Local Email Analytics — Last 30 Days.
The reports are built from your local email log. If Enable local email logging is off, or nothing has been sent yet, the tables show No email data is available yet. See Setting up the email log.
Retention limits the reports
The screen covers the last 30 days, but it can only count what the log still holds. If your Retention setting is shorter than 30 days, for example 7, the reports only cover those 7 days.
The totals
Five boxes across the top count the emails logged in the last 30 days by status:
| Box | Counts |
|---|---|
| Sent | Emails your mail service accepted |
| Sent by backup | Emails the backup SMTP transport sent after the main mailer failed |
| Failed | Emails that could not be sent |
| Blocked | Emails stopped by Do Not Send |
| Pending | Emails still waiting for a result |
What to look for
- Failed above zero. Open the Email Log tab, filter by Failed, and read the errors. A sudden jump usually means an expired key or changed password.
- Sent by backup above zero. Your main mailer is having trouble. The backup is covering for it, but you should find out why.
- Pending that never clears. Requests are ending before the mailer answers. Check Debug events.
Daily activity
The Daily activity table has one row per day that had email, newest first:
| Column | Meaning |
|---|---|
| Date (UTC) | The day, in UTC |
| Total | Every email logged that day |
| Sent | Sent plus sent by backup |
| Failed | Failed emails |
| Unique opens | Unique opens of that day's emails |
| Unique clicks | Unique clicks in that day's emails |
Days with no email are left out. Dates are in UTC, so near midnight a message may appear under a different day than your local clock suggests.
Open and click figures are credited to the day the email was sent, not the day it was opened. They stay at zero unless tracking is on. See Open and click tracking.
Top subjects
The Top subjects table lists up to 20 subject lines your site sent most in the period, with Total, Sent, Failed, Opens and Clicks for each. The open and click figures here are unique counts.
This table is useful for:
- Finding noisy senders. A plugin sending hundreds of the same alert shows up at the top.
- Spotting one failing message type. If only "New order" emails fail, the problem is likely in that plugin's settings, such as its From address, not your mailer.
- Seeing what people engage with. Compare opens and clicks across your regular emails.
Subjects that include unique details, such as order numbers, appear as separate rows.
Unique engagement
The screen notes: Engagement columns show unique client/link combinations; total requests remain available in individual log details. In other words, one person opening the same email five times on one device counts once. Total counts are in the Opens and Clicks columns of the CSV export.
